This documentation describes all functionality of an older version of ictime (3.x) for administrators and users. For documentation of the current version, please refer to the latest version of our documentation. For all versions of the documentation, please refer to Documentation History.

Reports: Financial Summary

Reports show you how much time has been spent and how much money should be charged for a project under different criteria. Reports have a financial dimension and are the base for accounting.


Financial Summary

The (financial) summary gives information on time spent, price per hour and total sum for the report. The information is structured based on criteria that defines prices, i.e. teams, price lists and activity types.

Options

You can hide/display the report summary bei clicking on the arrow on the left of the headline.

The following options are available, depending on your permissions and report criteria:

As regards the time dimension, the summary will also be available for (historic) data where no teams, price lists and activity types exist (or if you decide not to work with activity types, teams & price lists at all). Price-related information will be empty in this case.

Summary Data

In the financial summary, all times are displayed as decimal values rounded to two decimal places, please note that there might be minimal rounding errors! If you have chosen "rounded" as option for your report (and if for this project, a rounding rule had been configured), all times will be displayed according to the rounding rule.

No ChargeThis section shows all data of work logs with the "no charge" flag, i.e. a user has decided that this work log should not be charged (see Global Add-on Configuration and Log Work (Issue Screen)).

TotalSum (by project). 

There will be no specific information in the financial summary if work logs are included where a user has decided to use the "Corrected time" feature (see Global Add-on Configuration and Log Work (Issue Screen)). In this case, the "Charge" section of the summary simply contains the corrected time as decimal value. You can see in the work log details of the report if there are work logs with a corrected time (see Reports: Work Log Details).

Accounting References

If you have configured accounting references for your project (see Project Accounting References), they will be listed below the summary, above the option to charge work logs (if applicable):

If you have chosen multiple or all projects, the accounting references won't be displayed and won't be included in the export.

Export Summary

You can export the summary via the respective buttons on top/bottom right corner of the summary as .xls file.

Apart from the summary data, your export will contain your accounting references, if applicable (see above and see Project Accounting References).

Accounting

If you have selected "not charged" as "Work Log Status" and have checked the checkbox "Prepare Charging Work Logs" when running the report (see above), the option to charge all - or selected - work logs of your report ("creating an invoice") will be available on top and below the financial summary.
